The following documents must be maintained (preferably in central server) for each project (project-wise archival):
- Design documents
- Maps: Utility networks in Geospatial environment
- Cost estimate of each project
- Project schedule of each project showing major milestones
Design documents such as architectural, structural and foundation drawings, load calculations, analysis files and (during construction) material testing reports are highly essential for assessing safety after (i) a major damaging event such as earthquakes, (ii) revision of codes of practice (e.g., IS codes), (iii) occurrence of any damage due to natural or man-made causes. In addition, the design documents are indispensable for any future modification of an existing structure. Cost estimate of each project and schedule of execution are also important for planning of future projects. Further, information of all utility networks (such as gas, fiber optic/ethernet, water, sewer, AC and electric power) in GIS are helpful for future modifications, effective repair, etc.
Keeping above in view, the office of DOIP has adopted the following policies on archiving:
- The available design documents in hard copies as well as in digital copies (analysis files, load calculation sheets, AutoCad drawing files) of all structures at IIT Kanpur should be archived.
- All associated files for project costs and schedules should be archived.
- All drawings pertaining to utilities (electrical, civil such as water supply, sewage, AC, etc.), which will now be archived in geospatial database regularly to ensure that, IITK utility maps are up-to-date at all times.
- A georeferenced plan of all buildings/structures, which will be included in the geospatial database.
- For all upcoming/ongoing projects, it is now mandatory to maintain a hard and soft copy of such documents in the office of DOIP.
IWD, therefore, should arrange to provide the following items to the office of DOIP:
- A complete database of all the structures at IIT Kanpur along with the year (and, if available, duration and estimated cost) of construction.
- Scanned copies of all old drawings/maps, etc.
- Complete design documents and material testing reports of all available projects. If the project has been constructed in the last 10-15 years, and the IWD didn't archive such documents, it is advised to request the designers/architect for providing the same.
- Cost estimates and project schedules showing major milestones for all available projects.
- All drawings pertaining to utilities (such as gas, fiber optic/ethernet, water, sewer, AC and electric power).
Construction and demolition waste (CDW) such as from floor concrete and broken plasters is serious problem. Currently, CDW is either left in the construction site for long time or dumped in various places around the campus. To make the campus cleaner and to avoid damage to green cover, the office of DOIP in consultation with the chairman, green cell has adopted the following policies on construction and demolition waste:
- CDW must be removed from the construction site right after the construction is over. The IWD must ensure this requirement.
- If CDW contains RC components, it may be taken away from IITK by the concerned contractor.
- In case CDW contains only floor concrete or plaster materials, it should be either taken out of the campus by the concerned contractor or should be dumped in the specified dumping ground near Sibli road. Emphasis should be given to take away the CDW outside the campus. Henceforth, IWD should make sure that all contract documents should be clear on this aspect.
- Existing stock of CDW must be used for all upcoming road/footpath construction, wherever possible.
